Using the Case Tab in CAC CareNet

There are a few different sections to the Case Tab in CAC CareNet. Please review the article below to find out more!


1. Navigate to a client profile and click on the case tab.



2. Once on a the case tab you are given the opportunity to enter information such as the agency assigned case number, primary victim advocate, MDT Coordinator and to attach personnel following the case. By completing this section, CareNet will notify the individuals assigned here as to any changes or actions taken with this specific client. This is also applicable to the site wide notifications. Once you have entered all relevant information available, be sure to click on "Save" before adding Allegations.
Note: The Primary Victim Advocate, MDT Coordinator and Following Case personnel are populated through the Personnel section of the left menu in CareNet. If you do not see somebody on the list that should be, they will need to be added. Instructions on how to add personnel can be found by clicking  HERE.





Adding Allegations In CAC CareNet


1. Click on "Add Allegation"
Tip: You can key in as many allegations as needed for a client profile - there is no limit.


2. After adding an allegation you will first enter in all the presenting information for this case (A). After completing this information (if applicable), press the save button (B) to access CPS, LE, and Client Prosecution sections.
Tip: There are no required fields within the case tab. Feel free to save presenting information with nothing entered if you need to start logging LE or CPS information.



Allegations & Reporting - Things to Consider:

Each of the drop down menus highlighted below can be customized based on your agency's needs. These fields hold information essential to accurate, thorough reporting. The more information you can provide here the happier your data person will be when it's time to run reports.
 

If your agency is not a CAC, but you work with clients that are or have been crime victims, you will still want to use this section and provide as much information as possible. 

For those of you that work with specialized populations (i.e, trafficking, DV/SA advocacy), consider being able to run a report on youth that are suspected of being sexually exploited, having disclosed, or those that were confirmed by other means (LE investigation, etc.), or the number of times they presented to your agency on various allegations of abuse. One word...FUNDING!

You could even customize your "Incident Location Type" to start tracking patterns on issues like human trafficking. For example, perhaps you are seeing one online venue being used repeatedly to post underage individuals. Add that site as an option for your "Incident Location Type." Now, imagine being able to walk into your task force meetings and drop a report for the District Attorney showing the most common venues for sexual exploitation of minors for the survivors you work with. This can help provide valuable information that can inform your community's response. Remember, this report can be run so no identifying information is provided.  

This is also where you indicate where the referral came from by entering the "Referral Source", which is important information for reporting as well!
If you can't find a person in the drop down menus, be sure you have either linked them to the case through the client profile for the "Perpetrator" and "Co-Victim" fields. If it is personnel, remember that you will have to add the agency and personnel before they populate as an option in the "Referral Source" or "Screened By" list. Click  HERE to learn how.


Screened In, Screened Out & Date Presented to CAC:

The "Screened In" and "Screened Out" option can be used however your agency sees fit. It was intended to indicate whether child welfare/protective services screened a case in our out, but you may find your agency uses this to indicate whether the client was screened in our out internally. Whatever you decide on, be consistent in how it is used. 

"Date Presented to CAC" can be confusing to agencies that are not CAC's or do not automatically refer to a CAC. For some, the date you create a client profile (Registered Date) and the "Date Presented to CAC" are one and the same. For others, you may find that a client can be referred to your agency prior to the referral being made to a CAC. Some agencies may also utilize their MDT's in lieu of CAC's in which case, you could establish this date, internal to your organization, as the date you referred it to the MDT for staffing. Again, whatever you decide, just be consistent to ensure accurate reporting down the road. 

Once you have entered all of the "Allegation" information, the reason for referral, and linked any co-victims, be sure to click on "SAVE"

You will now see an option to add a "Narrative" to the allegation you just added as well as enter information for LE, CPS, and/or Prosecution. 






Add Law Enforcement (LE) Information:


Here you can enter Law Enforcement's case number, date referred, referring person, investigation open date, Investigation close date, investigating person, whether an arrest was made, the date of that arrest, whether charges were filed,the date charges filed, what the charge(s) were, and the disposition. You also can provide additional information in the narrative box. 

Once you have entered all available information, click "SAVE"





Add Child Protective Services (CPS) Information:


Here you can enter the CPS case number, abuse type, alleged perpetrator, abuse disposition, the date referred to CPS, DHS Case Manager, Investigation Open Date, Close Date, Investigator, Referral Source, and whether client was referred for other DHS Services. You also have a narrative section to add additional information. 

Once you have entered all available information, click on "Save"




Add Client Prosecution Information:
Client Prosecution Information includes prosecution case number, who the case was reviewed by, completed date, date referred to prosecution, decision to prosecute, leading prosecutor, outcome date, referral source and charges. This section also allows you to enter additional information in the "Narrative" field. 

1. If you have already entered information in the LE section pertaining to the charges against the perpetrator, simply click "Copy Primary Information" and you will see the charges are automatically added to the Client Prosecution Information section. 

2. If you did not add charges in the LE section, click on "Add Charges" and enter in the information. To add additional charges, click on "Add Charges" again and repeat until all charges are listed. If you make a mistake, you can delete a charge by clicking on the red square with the garbage can to the right of the charge. 

Once you have entered all information and charges, click on "SAVE"
