Accepting a Client Referral - Step by Step

Accepting a Client Referral - Step by Step

The client referral system with CAC CareNet allows you to accept referrals from outside agencies, saving you the hassle of entering basic demographic and case information! After a referral has been submitted by a referral user (to learn how to create a referral user press here) follow the below steps to add them to your database:

Step 1: From the dashboard expand the clients tab and press 'Client Referrals'.

Step 2: Once on the page reloads you will be on the client manager page. From here press the 'Referrals' button at the top of your page. After your page reloads you will be on the referral queue page. This is where all referrals are sent before being added to the system. By default it will show submitted referrals (referrals ready to be imported to your database), to change the view to deleted, imported, and merged referrals simply select from the referral status drop down.

Step 3: To import a referral press the import button corresponding with the client you would like to add. From this screen you can also view, reject and delete referrals. (See fig. 1)

Note: It's always suggested to review the referral before submitting by pressing the 'View' button to ensure nothing is missing. If something is missing you can reject the referral which will send it back to the referral user to be reviewed.
Tip: If you notice two of the same names you can merge referrals together. This means you can select information from each referral to combine into one, complete referral. (See fig. 2)

Step 4: After pressing the import button, the client viewer will appear. This occurs to ensure the client you're attempting to import does not already have an existing profile within CareNet. ( See fig. 3). If after searching and no results are populated, press the 'Add New Client' button.
Reminder: If the client you're attempting to add does have an existing profile (shows up after searching), do not press the add new client button. Instead, press the 'Import to client button' which will avoid creating a duplicate profile (See fig. 4).

Step 5: After adding the new client, you will be brought to the intake screen (in the same way you would after manually creating a profile). Simply double check the info that was added and press the save button at the bottom of the page to add the new client!
