Transferring a Client (For State Groups or Grouped Sites) - Step-by-Step

Within CAC CareNet we do offer the ability to transfer a client between multiple databases if your site is apart of a state group or a grouped site. The setup for becoming a grouped site does require configuration, so if you do not see an option to transfer within client profiles, this likely means your site is not setup yet. Please reach out to support to start the process of becoming a grouped site.

Please follow the steps below to transfer a client.


Transferring a Client

Step 1: Navigate to a client profile.


Step 2: Once on a client profile you will see a transfer button to initiate a client transfer to another site.


Step 3: After pressing the 'Transfer' button, you will get a list of available databases where you can transfer that client to. This list is predetermined by either your site grouping or state grouping.


Step 4: After selecting what database you would like to send this profile to and pressing transfer, you will see a new status within the profile tab.
Note: Once a client has been transferred to one database, they cannot be transferred to another. This process can only be used once per client.




Accepting a Client Transfer

Step 1: To check and see if a client has been transferred to your database, you first will need to navigate to the clients tab, then press 'referrals'.


Step 2: Once on the referrals page, you can view clients transferred to you by looking at the status column. For clients that were transferred it will show 'Transferred' as the status (A). You can alternatively change the referral status view (B) to view only transferred clients. To view the transferred client information, press the view button (C). To officially start the transfer to your database press the 'Import' button (D)


Step 3: After pressing 'Import' you will be presented with the client viewer, this is in place to make sure you are not creating a duplicated profile. Simply put the first/last name and date of birth and search. If you get no results press add new client, if you do get results search in your own database to see if the client you're attempting to import already exists.


Step 4: After pressing add new client your done! Simply search for the client using the quick search or clients tab.
