Locking a Document Folder - Step-by-Step

Within this article the process of locking a document folder will be discussed. Locking a document folder is beneficial as it allows only a certain group of personnel access to a folder, regardless of permissions. 

Please follow the steps below to lock a document folder:


Step 1: Access the 'Document Manager' page via the Admin tab.
Note: Depending on your permissions you may or may not have access to the Document Manager page. If you encounter a permission error please reach out to your local administrator for assistance.



Step 2: Once on the document manager page you will see all the folders previously created. From left to right in the table:
  1. Actions: The actions column lets you edit an already created folder. This includes changing if the folder is locked, and who the folder is locked to.
  2. Title: Shows the title of the document
  3. Visible: Indicates whether or not the folder can be used. A non-visible folder will be hidden within the client profile.
  4. Locked: A checked box indicates this folder is locked. The next column shows who can access that locked folder.
  5. Accessible by: Shows who can access that folder. You can have as many people listed here as needed.
To add a new folder scroll to the bottom of the page.
Note: Once a folder has been used (meaning a file was uploaded to it), it cannot be deleted or have its name changed. This is to ensure that historical information is not tampered with and to ensure nothing is deleted. 


Step 3: After either editing an already created folder or pressing the 'Add Document' button, you will now have the ability to lock the folder. To ensure the folder is locked first check the 'locked' checked box then select the applicable personnel from the 'Accessible By:' field. After that press the save button!
