Fields that Contribute to the VOCA Report

Within CAC CareNet, you can utilize site reports as a fast and easy option to pull data from your system.  In this article, we will look at sections of the VOCA report and how different sections of the client profile populate them.

With the most recent update to CareNet's VOCA report at least one of the following criteria must be met for a client to be considered:
  • Have an encounter logged during your report period that is a VOCA mapped service. (To learn more about mapped services please click here)
  • Have a therapy session logged during your report period that is a VOCA mapped service.
  • Have a forensic interview logged during your report period.
    1. Alert
      The VOCA site report no longer considers date information keyed in on the case tab to calculate results. For accurate numbers moving forward, please ensure at least one of the above-mentioned criteria are being met.


      Notes
      For the first reporting period of each fiscal year (Oct.– Dec), ALL clients should be counted as NEW to establish a baseline for that year.

      VOCA Report
      Field
      1. TOTAL number of individuals who received services during the reporting period
      The count includes all clients, meaning clients who are new (an AFR that falls between your report period) or active (a client who has an AFR before your report period but received services during the reporting period). (AFR Tab -> Start of Reporting)
      4. Number of NEW individuals who received services from your agency for the first time during the reporting period
      This count includes only new clients (an AFR that is between your reporting period) (AFR Tab -> Start of Reporting)
      7. Number of individuals assisted with a victim compensation application during the reporting period:
      Refers to services where victim comp was marked as assisted (Services Tab -> Encounter Information -> Victim Compensation)
      9. TOTAL number of individuals who received services by service type AND the NUMBER of times EACH service was provided during the reporting period
      This section breaks down all services applied during the reporting period (Services Tab -> Encounter Information
      -> Date). The services that are counted in this section are mapped services. Meaning, services that we set up specifically to go to certain sections. (Services Tab -> Services Provided)
      Forensic Interview
      The count includes the number of individuals who had a forensic interview during the reporting period. (FI Tab -> Date All Activities Completed)
      Demographics Section:
      This is for NEW individuals from Question 4.
        Race of Victims
      Defined during the intake process (Client Intake/Profile Tab -> Race)
        Ethnicity of Victims
      Defined during the intake process (Client Intake Profile Tab -> Ethnicity)
        Gender
      Defined during the intake process (Client Intake/Profile Tab -> Gender)
        Age of Victims
      Defined during the intake process (Client Intake/Profile Tab -> DOB)
      Types of Victimizations Section:
      This is for ALL individuals served.  
        Type of Abuse
      Defined on the case tab by filling in the abuse type field (Case Tab -> Presenting -> Abuse Type) during the reporting period (Case Tab -> Presenting -> Date Presented to CAC)
      Special Classifications of Individuals Section:
      This is self-reported for ALL individuals served.  
        Special classifications of individuals
      Defined during the intake process (Client Intake /Profile Tab -> Special VOCA Classifications)
