Adding Encounters & Searching for Encounters in CAC CareNet

Adding Encounters:

Open the Client Profile for the client you wish to enter encounters for

Click on the "Advocate" tab in the client's profile



You will now see a window titled "Encounter" 

If the client has encounters entered, you will see them listed here

To add an encounter, click on "+Add Encounter"



This will open the "Encounter Information" section where you will provide detail about the client encounter. All fields in RED are required

CAC CareNet STRONGLY recommends you enter as much information into as many fields as possible, or as appropriate to ensure accuracy in reporting



NOTE: If this client is linked to other clients, you will see an option when adding an encounter to make a group copy. If you click in the box and select those linked individuals that were present for this encounter (ex. therapy group, classes, court), this encounter will automatically be copied to their client profile! Remember, if no other clients are linked to this client, you will not see the group note option when adding an encounter.




Once you have entered all encounter information, scroll down the page to the "Services Provided" Section of the "Encounter" window



Services are color coded with the legend appearing in the top left of this section as follows:

VOCA Services are in BLUE

NCA Services are ORANGE

BOTH VOCA & NCA Services are in GREEN

Neither VOCA or NCA Services are in BLACK

NOTE: Services visible here are managed under "Admin" > "Modify Lists." To edit this list, see the tutorial "Modifying Encounter Services"   

Check the box or boxes next to all of the services provided during the encounter you are adding 

Most agencies using CAC CareNet are receiving grant and donor support and report on services provided to obtain, maintain and justify funding. Be sure your services list accurately reflects all services your agency offers and ensure those entering encounters into CAC CareNet understands the importance of including ALL services provided during each encounter.




Click "Save" once you have added all services to complete the encounter

That's it! Great job!

How to Search for Encounters in CAC CareNet:

To search for an encounter in CAC CareNet, start under the "Advocacy" tab in the client's profile



U nder "Advocate" you will see the Encounter window with a list of all existing encounters entered for that client

Click into the "Search" box in the top left corner of this window



This is where it gets cool...

Let's say you entered a note, you can't remember when, but you know you met at Starbucks and documented that in the note. YOU CAN SEARCH BY THE WORD STARBUCKS! Serious. Anything you entered in your encounter notes just became a keyword aka searchable. 

Type in the word you wish to search and press "Enter" or click the little magnifying glass to submit your search


Pro Tip! Before or after searching for an encounter, you can sort existing encounters by clicking on any of the column headings.
